As the first point of contact for our patients, you will play a crucial role in creating a positive and welcoming environment.
Your exceptional customer service skills, attention to detail, and ability to multitask will contribute to the smooth operation of our clinic.
Responsibilities:
Greeting and Welcoming Patients:
Provide a warm and friendly welcome to all patients and visitors as they arrive at the clinic.
Direct them to the appropriate areas and notify the respective healthcare providers of their arrival.
Appointment Scheduling:
Efficiently schedule patient appointments, both over the phone and in person, taking into account the availability of providers.
Update and maintain the appointment calendar in our system.
Patient Registration:
Collect and verify patient information, including personal and insurance details.
Assist new patients with necessary forms and ensure they are completed correctly.
Phone and Email Management:
Answer incoming calls promptly, addressing inquiries or directing them to the appropriate staff member.
Respond to emails professionally and in a timely manner.
Relay messages accurately and promptly to the appropriate recipients.
Check-In and Check-Out Procedures:
Ensure smooth patient flow by managing the check-in and check-out processes efficiently.
Collect co-pays, process payments, and provide receipts.
Schedule follow-up appointments, as required.
Medical Records Management:
Maintain patient records by accurately entering and updating information in the electronic health records (EHR) system.
Ensure confidentiality and security of patient data.
Administrative Support:
Provide administrative assistance to the healthcare providers and clinic staff as needed.
This may include photocopying, faxing, scanning, filing, and organizing documents.
Insurance Verification:
Verify patients' insurance coverage and eligibility.
Communicate insurance-related information to patients and assist in resolving any issues or questions.
Clinic Maintenance:
Maintain cleanliness and organization of the front desk area and waiting room.
Keep an inventory of office supplies and place orders when necessary.
Coordinate maintenance and repairs for office equipment.
Patient Satisfaction:
Strive to ensure patient satisfaction by addressing their inquiries, concerns, or complaints promptly and professionally.
Assist in resolving issues to the best of your abilities or escalate them to the appropriate personnel.
Qualifications:
High school diploma or equivalent.
Previous experience as a receptionist or in a customer service role, preferably in a healthcare setting.
Excellent interpersonal and communication skills.
Strong organizational and multitasking abilities.
Proficiency in using computer software (e.
g.
, EHR systems, MS Office Suite).
Ability to maintain patient confidentiality and adhere to privacy regulations.
Knowledge of medical terminology and insurance procedures is an advantage.
Ability to work effectively in a fast-paced and sometimes stressful environment.
